Helpful Hints in using the CHGME Web Application

Once the Security training is complete and received by CHGME Payment Program– the system will automatically send an email Log On ID and password. The security training is mandatory for all users of a Federal system. As a hospital, you would be considered a General User. You log in and create an ID and password right then. At the end print your certificate and fax to Jill 301-443-1879. The web address for the security training is:

Initial Log In

The link to the CHGME Payment Program web based reconciliation application is:

https://Chgmeapplication.hrsa.gov/default.asp

The first steps are as follows:

  1. User ID - First Initial and last name
  2. Put in password you received on the email notification
  3. System will automatically request the password to be changed
  4. Change password to whatever you would like for yourself. 8 characters, upper/lower case, number and a symbol.
  5. Click on Application across the top.
  6. Select Online application
  7. Select hospital (You should only see your hospital (s) as a hospital user)
  8. Select HRSA 99 this is populated using the latest information from your initial application for CHGME funds, review it, make changes, and add salutation on Line #2 and save.

You must select “Save” before navigating to a different page or the information you entered in on any page within the application will not be saved.

  1. Select HRSA 99-1, fill in the application data using your reconciliation data, select Save, and navigate to the next Tab and continue on until you reach the HRSA 99-5.
  2. On the HRSA 99 and 99-3 you must review and select “save and calculate” before continuing on.
  3. On the HRSA 99-5, you must select an answer for the last 5 questions to be considered complete and allow the application to be submitted.Please be aware of the following:
  • There is a “Notice of Burden Cover Letter”
  • If you click on the word “Section” within the HRSA 99’s forms it will take you to that section of the guidance.
  • Take note that some of the fields are auto populating (from one application page to another.) VERIFY THEY ARE CORRECT!
  • Be sure to add comments in the comments section if there are any issues you would like to convey to CHGME.  The comment section can be found on the bottom of the form.
  • Calculator Off/On:  Calculator on – the system will do the calculations; Calculator off – the calculations must be checked manually. If you set the “CALCULATOR OFF” make sure the amounts are corrected on the HRSA 99s forms that feed from one another.
  • Review the tabs on the bottom of the site, for more information on passwords, policies, security, help, comments and a link to the CHGME Payment Program website.
  • Once the application is complete or at any point in time during an application cycle, the application can be printed. Go to Application, select Online Application and then select the “View Printable Version” button, and print a hard copy for your records or for further review.
